Client intake

operations & toolsUpdated October 2026 · reviewed by the Forge team

also known as new client intake

The steps a firm takes to take on a new client - collecting their details and documents, running any required checks, agreeing the terms and setting them up in the firm's systems.

For example, a law firm's client intake might include a form for the client's details, an identity and conflict check, an engagement letter to sign and a deposit request. When each step is a separate email, a new client can take days of chasing to get fully set up.

Why it matters to your firm: it is the client's first experience of working with you, and it is often the most repetitive admin your people do. A smoother intake is faster for the client and gives your team hours back. Start with an ops audit to see how long yours takes.

Common questions

Frequently asked questions

What is client intake?

The steps a firm takes to take on a new client - collecting their details and documents, running any required checks, agreeing the terms and setting them up in the firm's systems.

What is the difference between client intake and client onboarding?

Intake is taking the client on - details, checks and terms. Onboarding is everything after, getting them started and settled. The words are often used together.

Can client intake be automated?

Most of it can: one form, documents uploaded to the right place, the engagement letter sent for signature and the client set up in your systems. People still make the judgement calls, like conflict checks.
