An outreach campaign tool for an agency that books podcast guests and wins clients
Email sequences from the team's own mailboxes, AI-drafted personal lines, one shared inbox for replies, and a manual LinkedIn queue.
We built Fame an outreach tool for guest booking and new business: email sequences sent from the team's own mailboxes, AI-drafted personal lines a person approves, one inbox for every reply, and a LinkedIn queue people work by hand. Main result so far: 20 meetings booked from 1,658 leads.
Who we built it for
Fame is a B2B podcast agency that has been running for six years. Its team finds and books guests, produces episodes and promotes each show for around 100 clients, and Fame Crew finds local videographers for shoots and handles the editing. Team size: about 97 people (estimate), most of them freelancers and contractors. Fame is Forge's own sister company, so we built these tools for ourselves first and still run every one of them.
Who uses it: the growth team, producers.
Outreach lived in personal inboxes
Producers inviting guests and the growth team contacting prospects each ran their own sequences from personal inboxes and spreadsheets. Replies were easy to miss, and follow-ups depended on memory.
Producers and the growth team spent around 60 hours a week on manual outreach (estimate).
Sequences, drafts and one inbox
Sequences from real mailboxes
Emails go out from the team's own accounts, so replies come back to a person.
AI drafts, people decide
AI suggests a personal opening line for each lead; the sender reviews it before it goes.
One inbox for replies
Every reply across campaigns lands in one place, with unsubscribes handled automatically.
Verified emails
An hourly lookup finds a verified email for leads that need one before an email step.
LinkedIn, by hand
LinkedIn steps go into a queue a person works manually.

What the growth team and producers used before
Sequences run from personal inboxes and spreadsheets.
Monthly cost of what came before: £300 a month (estimate)

How we look after the outreach campaigns
Forge built this for Fame and looks after it: errors are reported automatically to an error tracker, and anything that stops someone doing their job is fixed the same day.

What it would cost a client today
Start with the 2-week ops audit ($2,500 / £2,000, credited to your first month). A tool like this then fits the growth plan at $3,500 / £2,800 a month, with this as the first build included. Outreach touches mailboxes, lead data and AI drafting, so it usually fits growth.
Plans have a 3-month minimum. AI usage is passed on at cost, and the tool runs on your own accounts, so you own it. See pricing for the full breakdown.
Would this work for your firm?
If your team sends sequences from personal inboxes, this gives them the follow-up time back without losing the personal touch. It suits agencies and consultancies that win work through outreach.
